Understanding Chronic Manual Migration Syndrome (CMMS)

Chronic Manual Migration Syndrome is a condition of NetSuite consulting practices that move QuickBooks and Xero data into NetSuite by hand. It is a spreadsheet condition, and it is progressive.

Two colleagues at a wall chart comparing QuickBooks accounts with NetSuite accounts, one pointing with a pen at Office Supplies and Office Exp. while the other watches with arms crossed.

What is CMMS?

CMMS is the cumulative effect of migrating customers, vendors, items, employees, invoices, and bills out of QuickBooks or Xero through exported CSV files, VLOOKUPs, and a mapping workbook maintained by one person. The condition is chronic because the workbook is rebuilt for every engagement. It is manual because the next file will also be named FINAL, and someone will still have to open it.

CMMS presents differently in every practice. Exposure commonly begins with FINAL_v3_useTHIS.xlsx. Onset is gradual. Recognition is sudden.

Risk Factors

The following factors were associated with CMMS in NetSuite data migration engagements. Practices presenting with more than one should be evaluated before the next statement of work is signed.

Risk factorClinical note
A migration quoted at three weeksWeek 5 is commonly reached. The quote is rarely revisited.
A client who describes the data as cleanThe description has not been confirmed in any study.
One mapping workbook, maintained by one consultantKnowledge of the mapping leaves the practice when that consultant does.
A chart of accounts with years of manual additionsOffice Supplies and Office Exp. coexist in the same ledger and do not speak.
A recent acquisitionSubsidiary Merge Anxiety may present by Friday, typically after the statement of work is signed.

Stages of CMMS

Untreated, CMMS progresses through four recognized stages. Progression may be observed within a single QuickBooks to NetSuite migration.

StagePresentation
EarlyThe consultant exports a CSV from QuickBooks or Xero and believes it will be the only one.
ProgressiveThe same mappings are rebuilt a 3rd time. A file named FINAL_v3_useTHIS.xlsx appears and is shared.
ChronicHours of VLOOKUPs per migration reach 147. Flare-ups present at 2am.
LateWeek 5 of a project quoted at three weeks. Open orders have no status. The trial balance will not reconcile on its own.

Diagnosis

CMMS is diagnosed by history. The practitioner asks one question: where does the mapping live. If the answer is a workbook, the diagnosis is confirmed. No imaging is required. The workbook is the image.

Treatment Options

Two approaches to Xero and QuickBooks to NetSuite migration were compared in Study CMMS-217, a controlled migration of 217,307 records in which 0 failed.

MeasureTraditional (untreated) migrationMIAGRA
ExtractionManual CSV export from QuickBooks or Xero, repeated whenever the client sends updated data.Customers, vendors, items, and transactions extracted directly from QuickBooks or Xero.
Field mappingVLOOKUPs in a workbook, rebuilt for each engagement.Automatic field mapping. 101 of 101 accounts mapped in Study CMMS-217.
ReconciliationChecked by hand, when time allows, usually at 2am.Trial balance reconciled period by period to a variance of $0.00 across 73 periods.
Historical transactionsFrequently reduced to opening balances.Full historical transaction retention, including invoices and bills.
Go-livePreceded by the discovery of additional CSV files. No interruption of normal operations was observed.
